Administrative Assistant

Location: Philadelphia, PA

The administrative assistant supports the organization’s initiatives at the Mid-Atlantic Regions level through the support of the development team and development volunteers.The Administrative Assistant also provides effective administrative support to their local Hadassah Region volunteer leadership.

  • Provides administrative support for the planning and coordination of fundraising activities and events
  • Maintains the integrity, accuracy, and currency of constituent records within Clearview and other systems, including mailing data
  • Assists with acknowledgement letters, certificate orders for donor life events, and works with Region presidents on development correspondence
  • Supports Director of Development, Mid-Atlantic and development volunteers on cultivation and stewardship of grassroots donors
  • Generates and manages reports for monitoring fundraising success and assists with budget/actuals
  • Assists with mail merges and mailings for solicitation pieces
  • Prepares event fundraising materials, including PowerPoint creation, video support, and event briefings
  • Assists with volunteer training, support, and coordination for fundraising activities. Manages meeting scheduling and development tasks for volunteer fundraising committees where needed
  • Schedules appointments and facilitates meetings, and/or travel arrangements for Director of Fundraising, Mid-Atlantic, as needed
  • Serve as receptionist, greet visitors, answer phones and assist callers
  • Maintain files, databases, records, producing reports and records as necessary
  • Prepare correspondence, mailings, nametags
  • Provide administrative support for meetings, programs and events
  • Organize, store, procure, and manage inventory and supplies
  • Support volunteer leadership and other staff in office as necessary
  • Service and troubleshoot all problems and issues that arise
  • Staff events as needed

Required Knowledge, Education or Experience

  • BA or 2-3 years equivalent experience
  • Proficient in MS Word, Excel and Outlook
  • Knowledge of donor based databases, event modules and QuickBooks
  • High level of confidentiality
  • Detail oriented, organized and proactive
